  GUIDE LINES FOR EXPO PAKISTAN (29TH MARCH - 2ND APRIL 2006)
   
 

My dear Exhibitor,

 
   
 
Expo 2006 is national event and all of us want it to be organized properly. To achieve this end, Export Promotion Bureau has evolved a few systems and guidelines which I would like to share with you with the request that these may kindly be followed properly.  In this regard, kindly note the following:
   
   
2 Effective Presentation of Products
2.1 

Exhibition Stand

 
   
 
One of the most important factors in the success of participation in any exhibition is the presentation of products in the exhibition stands. The trade fair stand is the company’s calling card and should be attractive to the eye and should also appeal to the visitors’ emotions. For selection of products to be exhibited, please consider following questions:
   
 
 
  • Can the whole range of products be displayed, or should selected products be shown?
  • What must definitely be displayed?
  • What is new, improved, better than the competition?
  • What facet of the product must be particularly emphasized?
  • Which product meets the future requirements of the target group?
  • Are the design, the colouring and packaging right?
  • What can or need to be explained by using flip charts, displays or videos?
  • Can the products be demonstrated in real–life situations?
  • What accessories such as hangers, shelves, mannequins etc are required for display of products and in what quantity?

After carefully answering these questions and on reaching a decision following are the additional points which must be considered:
   
 
 
  • Are the exhibits attractive to the eye (design, colour, and packaging)?
  • Can the visual effect of the exhibits be improved by colour and lighting effects?
  • Can the exhibits be so displayed that they are freely accessible to visitors?
  • To what extent can the exhibits be shown in practical situations?
  • What information must be designed (flip charts, displays)?
  • In-booth promotional material (brochures, technical literature & giveaways etc.)
  • How can services be demonstrated?
  • What accessories are required for display of selected products?
   
   
3.  Functional Areas
 
   
 
For effective presentation of exhibits it is important to determine the functional areas of stand. The overall size of every stand, no matter how big or small is determined by two factors:
   
3.1 

Space required for presentations

 
   
 
The space required for exhibits is a factor of the number and size of the selected products. The presentation area includes various areas for exhibits, information boards, videos, demonstrations etc
   
3.2 

Discussion areas

 
   
 
According to the type of product being exhibited and discussion taking place some area is required for this purpose
   
4. 

Graphic

 
   
 

Presenting information in a visual form by using colour and graphics is a part of stand design. The trade fair visitor expects to be guided by visual information. The visualization of the information is determined essentially by four complementary factors:

   
 
 
  • Graphics (e.g. technical representations)
  • Lettering (typography)
  • Photographs and slides
  • Audio–visual media
  • In general, graphical illustrations complement the exhibit.
   
4.1 

Photographs and slides

 
   
 

The use of photographs and slides is highly recommended, since they enhance verbal information, make systems optically visible, convey spatial impressions and demonstrate user benefits.

   
4.2 

Audiovisual media

 
   
 

The use of audiovisual media, such as film, TV (video playback), computer–aided presentations etc can increase the attractiveness of the trade fair stand and help supply more detailed information. Audio–visual media should be used to demonstrate products or processes in action that cannot be demonstrated live at a trade fair for technical reasons.

   
4.3 

Manning the Stand

 
   
 

The trade fair stand creates a positive environment for product and personal information by means of its architecture and design. Competent stand personnel and efficient, functional running of the trade fair ensure success.

   
4.4 

Stand Personnel

 
   
 

The better motivated and qualified the stand personnel, the greater the chances of good sales results and new contacts. Stand personnel are just as important as an effective presentation of the products. Persons at stand should have outstanding theoretical and practical specialist knowledge about firms and its products & services, ability to deal with people, should be confident and proficient in manner, having articulate expression and flexibility. It is also very important to be aware of dress, appearance and posture.

Cleaning and Security

 
   
 

It goes without saying that the stand should be kept clean at all times.

   
5. 
 

Apart from the above following are the general issues which need your consideration:

   
5.1 
 

For those exhibitors who want to have their customized stands, halls will be available from 24th March 2006.  They can move in with their vendors for construction of their stand on 24th March 2006.

   
5.2 
 

For those exhibitors who are opting for the standard upgraded shell scheme, stands will be ready for taking over and for arranging display from 27th March 2006.

   
5.3 
 

All the exhibitors must have to complete their display by 02:00 PM of 28th March 2006 as venue has to be vacated for security clearance and after the same exhibitors will be allowed to enter the venue on 29th March 2006.

   
5.4 
 

The exhibits must reach at Expo Centre on or before 27th March 2006. At the venue exhibits will be handled by M/s Pegasus Consultancy (021-111-734-266) the selected venue managers.

   
5.4 
 

M/s Pegasus Consultancy has arranged the services of visual designers for helping the exhibitors in their display. They will be available in each Hall of Expo Centre in 3/4 numbers and for having their services exhibitors may contact at Help desk/ Information stand of EPB which will be available in every Hall.

   
5.5 
 

If you require any additional items for display of your products, kindly intimate your requirement immediately to Mr. Kashif Waheed, Manager Projects (Ph 021-111-734-266, Fax 021-2410723) which will be made available on payment.

   
5.6 
 

Arrangements for meeting rooms have been made in each hall. If any exhibitor wants to use meeting rooms, he will fill in a Request Form which will be available at the Help Desk/Information stand of EPB in the hall. After filling out the form, it will be handed over to the officer in charge of EPB help desk, who will pass it on to the in charge conducting meetings.

   
5.7 
 

A complaint register will be available at the Help Desk/Info Stand of EPB, in case any exhibitor wants to register a complaint.   

   
5.8 
 

EPB has a provision of room reservation at Hotels in limited number at special rates for upcountry exhibitors. If you intend to avail this facility, please immediately send your request. Please note that EPB will only entertain requests on first come first serve basis and to the extent of room’s availability and payment has to be made by the exhibitor himself at the time of check in.

   
5.9 
 

A Food Court is being established at Expo Centre which will cater to the requirements of exhibitors at venue. Different food chains will be present in the Food Court.

   
5.10 
 

Only one person per exhibiting firm will be allowed to participate in the inauguration ceremony. Chief Guest may visit your stall and you would be expected to answer any question and explain your products to him. Kindly take note that person at stand should be well versed with the firm and products/services offered by the firm. Arrangements have been made for the same person to participate in the inaugural ceremony if s/he is the one who is invited. Kindly also ensure that you are appropriately dressed for the occasion.

   
5.11 
 

During the visit please abstain from attracting the attention of the Chief Guest to your stand.  

   
5.12 
 

The Exhibitors badges must be worn during the Exhibition Hours.
